AOFAS 2013 ANNUAL MEETING
HOUSING / IMPORTANT INFORMATION!!!
HOUSING “PIRATES” AND “POACHERS”
When the AOFAS secured sleeping rooms for the 2013 Annual
Meeting (commonly referred to as a room block), research was done to make
certain that meeting attendees and exhibitor representatives would be
adequately accommodated. The room block was established to ensure that rooms
meet AOFAS standards and that they would be offered at a discounted price.
The AOFAS has been informed that exhibiting companies are
being contacted by fax, e-mail or most often by phone with offers for cut rate
housing. The intent is to convince you that the offer is made on behalf of the
AOFAS, or that the soliciting company is a viable alternative to going directly
through the hotel. This is not
true!
Housing for the AOFAS Annual Meeting is
handled exclusively by the Westin Diplomat Hotel reservations department.
How it works
Room poaching is a practice carried out by third-party
companies that act as travel agencies, wholesalers or destination management
companies to solicit attendees and exhibitor representatives for room
reservations.
The poacher might inform you that the AOFAS room block is
“sold out,” and that if you do not book with them immediately, you may not get
a room. Additional deceptive tactics include distributing forms or promotional
materials that appear to be issued by the AOFAS.

Room poachers make it more difficult to meet the
AOFAS room block commitment, and expose the Society to penalties and increased
room rates for meetings.

Room poachers often don’t deliver on promises to
customers. They typically offer a lower rate than the official block rate. With
that, room reservations are non-existent or may be offered at significantly
lower quality. In other circumstances, cancellation polices are often harsh and
unforgiving.

Poachers often represent themselves as being
affiliated with the Society by illegally using the AOFAS logo.
The Society seriously questions the ethics of those who
blatantly intrude on private events such as this and can only speculate at what
rude surprises may await for those unsuspecting of such offers.
How you can help
Don’t
be misled! Any offers from other hotels and/or housing agencies are not
endorsed by the AOFAS. If you are contacted by anyone asking if you need a room
for the AOFAS Annual Meeting, please get as much information as you can and
pass it on to our Executive Office at 847-698-4654 or 800-235-4855; or via

The AOFAS assumes the responsibility to demand a cease and desist of such
efforts.
